Receptionists need to have an ear to the ground and be aware of everything that’s going in a Club house, from knowing what’s the need of Clients and the employees & coordinating with them. You’ll also often be the first person that employees and potential clients see, so you’re always representing the company.

A receptionist is the primary point of contact for visitors, clients, and staff, responsible for creating a welcoming and organized atmosphere. They greet visitors, answer inquiries, and direct individuals to the appropriate person or department, setting a professional and friendly tone from the moment someone enters the facility. Receptionists manage a high volume of calls, taking messages, transferring calls, and providing information, which requires strong communication skills and patience to handle diverse needs effectively.

Scheduling and organizational tasks also fall within the receptionist’s scope of duties, including managing appointments, coordinating meeting room bookings, and sometimes assisting with scheduling for staff or management. They handle incoming and outgoing correspondence, receiving and sorting mail, packages, and deliveries, ensuring they reach their intended recipients promptly and securely.

A receptionist often provides basic administrative support, such as data entry, managing records, and ordering office supplies. They are also responsible for keeping the reception area clean, organized, and professional, which contributes to a positive first impression for anyone entering the office. Additionally, receptionists may be responsible for security tasks like overseeing visitor sign-ins, maintaining logs, and enforcing visitor policies to uphold the organization’s security and safety protocols. A receptionist’s daily tasks will involve:

  • Answering and forwarding phone calls of Clients.
  • Able to deal with difficult clients or customers (not everyone knows the manners rule)
  • Checking Attendance book.
  • Well-organized & Friendly and polite (manners cost nothing after all)
  • Self-motivated
  • Good with computer systems
  • Have polished communication skills
  • Open and date stamp all general correspondence
  • Maintain the general filing system and file all correspondence
